2.Booking. By booking a Trip (“Booking(s)”) with Blueroad you hereby are deemed to have agreed to this Agreement, including without limitation all of the provisions of these Terms & Conditions. Booking means that you are paying for a future Trip.

3.Payments

3.1.Deposit Requirement. A Traveler is required to pay a 30% deposit (“Deposit”) per person per Booking to be confirmed. If your Booking is made within 60 days of the departure date identified in the Booking (the “Departure Date”), then the full amount is payable at the time of Booking and is deemed the Deposit for purposes of this Agreement.

3.2.Remaining Payments. Please refer to your Booking confirmation email for details regarding remaining payments. Payments, other than the Deposit, made towards the balance of the Booking are referred to as the “Remaining Payments”. Payment of the balance of the Booking price is due 60 days before the Departure Date. If this balance is not paid on or before the due date, we reserve the right to cancel your Booking, subject to the cancellation and refund policy provided below.

4.Cancellation

4.1.Cancellation by the Traveler.  Your Deposit is fully refundable the first 48 hours if booked more than 60 days prior to departure. If you need to cancel your trip 60 days or more before departure, you have two options: you can request a free change of travel dates or receive a full refund (minus an administrative fee of €150).  If booked within 60 days of departure, your Booking becomes non-refundable.

Blueroad will do the  best to re-sell your spot, but cannot guarantee that it will be able to do so. If Blueroad is able to re-sell your spot, Blueroad will offer a full refund (minus the administrative fee) or the full amount in travel credits.

4.2.Cancellation by the Company.

4.2.1.Cancellation due to Force Majeure: In the event of a force majeure event (“Force Majeure(s)”) leading to trip cancellation or modification, we reserve the right to reschedule your Booking for a later date, offer comparable services, and make changes to service providers if needed. If the trip is canceled or delayed, you may receive a refund for the funds that have not yet been sent to the accommodation and service providers or credits for a future trip. However, please note that depending on the destination, some accommodation partners and service providers may not offer monetary refunds or credits for a future trip.

4.2.2.Cancellation for Any Reason: We retain the right to cancel a Booking for any reason up to 45 days before the Departure Date. Except in cases of Force Majeure, if we cancel your Booking, you have the option to transfer both the Deposit and Remaining Payments to an alternative Departure Date or receive a full refund.

For both scenarios, we are not responsible for any incidental expenses that you may have incurred as a result of your Booking, including but not limited to, visas, vaccinations, unfavorable exchange rate fluctuations, travel insurance excess, or non-refundable flights.

4.3.Cancellation by Host. Unless due to Force Majeure, if the Host decides to cancel their participation in a Confirmed Trip, the Trip will proceed as scheduled with a discounted payment (determined by Blueroad based on the Trip). If the Host wishes to reschedule the trip and all travelers agree to the rescheduled trip conditions (which depend on payments made to the providers at that time, the booking conditions of providers, the new dates, etc.), the trip will be rescheduled with the updated trip conditions.

In the event of Host cancellation, we are not liable for any additional expenses you may have incurred due to your Booking, such as visa fees, vaccination costs, unfavorable currency exchange rate changes, excess travel insurance, or non-refundable flight expenses.

5.Passport and Visas. You must carry a valid passport and obtain all of the appropriate visas, permits and certificates for the countries which you will visit during your Trip. Your passport must be valid for 6 months beyond the duration of the booking. It is your sole responsibility to ensure that you are in possession of the correct visas, permits and certificates for your Trip. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.

6.Travel insurance. Medical insurance is mandatory for our trips. Any conditions beyond our control that may cause delays, such as late luggage or extra flights, will be at your expense. To protect your investment in case of unforeseen circumstances such as illness, injury, natural disasters, or the mentioned above, we strongly recommend purchasing trip cancellation insurance. Please note that trip cancellation insurance is not the same as “medical insurance only,” as it covers a broader range of situations.

7.Prices & Surcharges. Prices may vary due to factors like demand and seasonality, which are common in the travel industry. This means prices can change at any time. Different passengers on the same trip may be charged different prices. Discounts cannot be combined, and only one discount can be applied per traveler per Booking. Once you’ve paid your Deposit, any new discounts or reduced prices won’t apply. If you cancel to rebook at a cheaper price, standard cancellation conditions apply. We may add surcharges up to 60 days before the Departure Date due to factors like exchange rate fluctuations, increased transportation costs, local operator expenses, taxes, or government requirements. We’ll cover up to 2% of the Booking price, and you’re responsible for the rest. If a surcharge raises the total cost by more than 10%, you can cancel within 14 days of notification and receive a full refund

8.Photos and Marketing. You agree to allow us to use photos of you taken during the trip for advertising and promotional purposes, using any method we see fit. You give us permission to use these photos indefinitely, without having to pay royalties, and in any part of the world, for publicity and promotional activities.
